Privacy Policy
We care about your privacy. This policy explains how Elexive Oy (“Elexive”, “we”) collects, uses and protects your personal data, and the rights you have. We process personal data in accordance with the EU General Data Protection Regulation (GDPR) and other applicable laws.
Who we are
Elexive Oy is the data controller for the personal data described in this policy. If you have any questions about your data or this policy, contact us at dpo@elexive.com.
What we collect and why
We collect personal data when you visit our website, contact us, use or buy our services, work with us as a partner or supplier, subscribe to our communications, or apply for a job with us. Depending on how you interact with us, this may include your name, contact details, company and role, and any other information you choose to share.
Most of the data we hold comes directly from you. For business development, we may also collect professional details (such as your name, role, employer and work email) from publicly available sources (for example LinkedIn, company websites, and business or trade registers) or from lead-generation providers, in order to reach organisations and individuals who may be interested in our services.
We use this data to:
- provide, market and improve our services;
- communicate with you and respond to your requests;
- manage our customer, partner and supplier relationships;
- run our recruitment process; and
- meet our legal and compliance obligations.
Legal basis for processing
We process your personal data on one or more of the following legal bases: your consent; the performance of a contract with you; compliance with our legal obligations; and our legitimate interests. Where we rely on legitimate interests, these are: developing and marketing our services to relevant professional contacts, managing our client, partner and supplier relationships, carrying out recruitment, and keeping our business and systems secure. You can object to processing based on our legitimate interests at any time (see “Your rights”).
Recruitment
If you apply for a job or we contact you about an opportunity, we process the information you provide (such as your CV, contact details, work history and skills) to assess your application and manage the hiring process. The legal basis is your consent, our legitimate interest in recruitment, or taking steps to enter into an employment contract with you.
If you are not hired, we keep your application only for as long as necessary. We will ask for your consent before keeping your details for future opportunities.
How long we keep your data
We keep personal data only for as long as it is needed for the purpose it was collected, and for as long as required by law. When it is no longer needed, we delete or anonymise it.
How we protect your data
We protect personal data with appropriate technical and organisational measures, and we limit access to those who need it to carry out their work.
Sharing and international transfers
We do not sell your personal data. We may share it with:
- trusted service providers who process data on our behalf (for example IT, hosting and communication tools);
- our affiliated companies; and
- authorities or advisors where required by law.
These parties may only use your data to provide the service we have requested. We aim to process your data within the EU/EEA. If data is transferred outside the EU/EEA, we rely on appropriate safeguards such as the European Commission’s adequacy decisions or standard contractual clauses. You can request a copy of these safeguards by contacting us at dpo@elexive.com.
Your rights
You have the right to access, rectify, erase, restrict or object to the processing of your personal data, the right to data portability, and the right to withdraw consent at any time. You can also lodge a complaint with the Finnish Data Protection Ombudsman (tietosuoja.fi).
To exercise your rights, contact us at dpo@elexive.com. We may ask you to verify your identity before we respond.
Automated decision-making
We do not make decisions that produce legal or similarly significant effects about you based solely on automated processing or profiling.
Changes to this policy
We may update this policy from time to time to reflect changes in our operations or applicable law. The latest version will always be available on this page.
